Details for Session Coordinators
As coordinator, your responsibilities are to:
- Ensure good time management of session preparation.
- Prepare and submit the final session description to odwelley@eba-net.org by the stated deadline (below). This will be used for conference marketing and on EBA’s website – try to be creative.
- Before inviting any speakers, submit to the Professional Education Council (PEC) for approval a suggested list of session speakers and a session moderator. (The GOAL: No more than 3 speakers and one moderator to participate, and a diverse group of speakers.)
- Once approved by the PEC, invite the speakers/moderator to participate.
Communicate confirmed speakers to EBA ASAP (entire email list to kcutler@eba-net.org) and EBA will send a formal email, with session details and speaker information, to all confirmed session panelists. (NOTE: When you send confirmed speaker information to EBA, include session title and speaker’s proper name, title, organization, and email address.) - Ensure the moderator and all panel members understand how they fit in, and review content to avoid overlaps.
- Ensure the panelists meet EBA deadlines for bios and session materials.
- Ensure meaningful participation of all speakers.
- Suggest alternate speakers to the PEC/EBA, if a confirmed speaker is unable to fulfill their duties.
- Submit CLE materials and handouts to odwelley@eba-net.org by the stated deadline. All sessions require handouts to receive CLE approval. Panelists do not need to use PowerPoint but, at a minimum, each session needs reference material for CLE approval.
EBA strongly encourages you to consider a variety of presentation styles, such as debate format, fireside chat, speed rounds, games, etc. Have fun with it!
Due Dates and Milestones for Speakers, Moderators & Coordinators
Please submit all material as soon as possible, but no later than the following dates, through the "Send Documents" button above.
Immediately: Upon agreeing to speak, all speakers, moderators, and coordinators should please complete the online speaker agreement form (below - just fill out and click submit).
July 1 (Or ASAP):
- Submit proposed session title and description to EBA
- Short Description – should answer “What will I learn from this session” in one sentence.
- Long Description – up to 100 words (posted on the website)
- Session coordinators should submit a list of potential speakers for the PEC leadership to review. Once approved, coordinators may invite speakers.
August 15:
- All Speakers and Moderators must complete the Speaker/Moderator Agreement form (below)
- All Speakers and Moderators must send a short bio and separate photo to EBA - Send Material
- All Speakers and Moderators must register for the conference. Your registration is complimentary for the day you are speaking: simply select “Day of Speaking Engagement” to register for FREE on the day you are speaking. If you do not already have an EBA profile, you will need to create one when registering. Please attend both days of the conference if your schedule allows it. We offer speakers a discounted registration rate ($375) to attend both days: simply select “Speaker Full Conference” to take advantage of the discounted rate.
August 25:
- EBA room block closes. If you need hotel reservations, we urge you to make them as soon as possible.
September 1:
- All Sessions must submit CLE-quality background material (this can include draft slide decks)
- Speakers: If using slides, download EBA's conference PowerPoint design template and send your slide deck to your Moderator and Olivia Dwelley. PowerPoint presentations are not required, but if you do use slides, we ask that you use the PowerPoint template provided (template coming soon).
- Moderators: If any of your speakers are using PowerPoint, you must work with Olivia to consolidate all slides to one slide deck for the entire session, in the order of presentation. The slidedeck MUST be in PowerPoint format.
- Submit Final Session Materials to EBA.
September 15-16: Attend Forum! Please check in with EBA staff 30 minutes prior to the start of your session.
